Set up Claude

Use this guide to set up Claude as an agent that does work for you.

At the end you have:

  • An agent that reads your calendar and email and sends you a brief every week.
  • Instructions that tell Claude who you are and how you work.
  • A first small tool that you built with Claude Code.

Time: about 90 minutes. You do this one time.

If you use ChatGPT, use the ChatGPT guide.

How to use Claude

The Claude desktop app has three tabs. Use the tab that matches the task.

Tab Use it to It can reach
Chat Think, draft and ask questions What you paste or upload, and connected apps
Cowork Give Claude a task to finish on its own Connected apps, folders on your computer, your browser
Code Build a tool, a script, a dashboard or a website A folder on your computer

Use Chat only to think. Give tasks to Cowork. Build tools in Code.

In some versions of the app, Chat and Cowork use one message box. Any conversation can then do a Cowork task.

Words in this guide

  • Agent: a task that Claude does on a schedule, with access to your tools.
  • Connector: a link between Claude and one of your tools, for example Gmail.
  • Skill: a set of instructions for one type of task. Claude uses it each time that task comes up.
  • Plugin: a package of skills and connectors for one job, for example sales.
  • Project: a workspace with its own files, instructions and memory.

Before you start

  1. Find out which AI tools your company approves for work data.
  2. If your company approves Claude, use that account.
  3. If your company does not approve Claude, use a personal account.
  4. On a personal account, connect only personal tools. Share only material that you have permission to share.
  5. Get a paid plan: Pro, Max, Team or Enterprise. Cowork and Code do not work on the Free plan. See Claude pricing.

Step 1: Install the desktop app (5 minutes)

  1. Go to claude.com/download.
  2. Download the app for your computer.
  3. Open the app and sign in.

Use the desktop app, not the browser. Only the desktop app can reach the files, browser and apps on your computer.

Result: you see the Chat, Cowork and Code tabs.

Step 2: Stop Claude from training on your chats (2 minutes)

On Free, Pro and Max plans, Anthropic can use your chats to train its models. Do this step before you share work material.

  1. Go to Settings, then Privacy.
  2. Find Help improve our AI models.
  3. Set it to off.

Result: Anthropic does not use your new chats for training.

Step 3: Tell Claude who you are (40 minutes)

Claude reads your instructions before each conversation and each task.

  1. Build your About Me and Voice profiles. Use the prompts in Build your AI profile.
  2. Go to Settings, then General, and open Instructions for Claude.
  3. If you do not see it, go to Settings, then Cowork, and open Global instructions.
  4. Paste a short version of your About Me profile. Include your role, your company and how you want answers.
  5. Save the instructions.

Result: Claude knows your role and your rules before you type.

Step 4: Connect your calendar and email (10 minutes)

Connectors let Claude read your tools. You do not copy and paste.

  1. In the left sidebar, open Customize.
  2. Select Connectors.
  3. Add your calendar.
  4. Add your email.
  5. Sign in to each tool when Claude asks.
  6. For each connector, set read actions to Always allow.
  7. Set actions that send or change things to Needs approval.

You can also add connectors from the + menu in the message box. To remove a connector, go back to Connectors.

Result: Claude can read your calendar and email. It asks you before it sends or changes anything.

Step 5: Set how Claude asks for approval (2 minutes)

The mode selector is in the message box.

  1. Select Manual for your first week. Claude asks before each action.
  2. After one week, change to Auto if you trust the results. A safety check then reviews each action and blocks risky ones.

CAUTION: Use Manual for any task that sends messages as you, spends money or changes important files.

Claude always asks before it deletes a file.

Step 6: Build your first agent (15 minutes)

Your first agent sends you a brief each week.

  1. Open the Cowork tab.
  2. Type /schedule. Or open Scheduled in the left sidebar.
  3. Paste these instructions. Replace the text in square brackets.
Every [day] at [time], read my calendar for the next seven days and my email from the last seven days.
Give me:
1. The meetings that need preparation, and what to prepare.
2. The emails that wait for my reply.
3. What I delivered last week.
Then ask me what changed because of that work. Add my answer to a running log.
  1. Set the day and the time.
  2. Save the task.
  3. Run the task one time now.
  4. Read the brief.
  5. If the brief is not useful, change the instructions and run it again.

Scheduled tasks in Cowork run in the cloud. Your computer can be off.

Result: each week you get a brief, and your log of delivered work grows.

Step 7: Build a tool with Code (20 minutes)

Code builds software from your description. You do not need to know how to code. Start with a small tool that you will use.

  1. Make a new folder on your computer, for example "my-first-tool".
  2. Open the Code tab.
  3. Select Local.
  4. Click Select folder and choose your new folder.
  5. In the mode selector, select Plan. Claude then shows a plan and does not change files.
  6. Describe the tool. For example:
Build a one-page dashboard that I open in my browser.
It reads my weekly delivery log and shows what I delivered each month and what changed as a result.
  1. Read the plan. Ask questions until the plan is clear.
  2. Change the mode to Manual.
  3. Tell Claude to build the plan.
  4. For each change, read it and click Accept or Reject.
  5. Ask Claude to open the result. Test it.
  6. If something is wrong, tell Claude what you see. Claude fixes it.

CAUTION: Use a new, empty folder. Code can change any file in the folder that you choose.

Result: you have a tool in your folder, and it works.

To run a Code task on a schedule, open Routines in the sidebar and click New routine. A Local routine runs only when your computer is on and the app is open.

Step 8: Turn a repeated task into a skill (10 minutes)

If you give Claude the same instructions more than twice, make a skill.

  1. Go to Settings, then Capabilities.
  2. Set Code execution and file creation to on. Skills need it.
  3. In the left sidebar, open Customize, then Skills.
  4. Click +, then Create skill.
  5. Ask Claude to write the skill with you. Or upload a skill as a ZIP file.

Claude already has skills for Word, Excel, PowerPoint and PDF files. In the Code tab, type / to see your skills.

Result: Claude does that task your way each time.

Step 9: Add a plugin (5 minutes)

  1. In the left sidebar, open Customize, then Plugins.
  2. Click Browse plugins.
  3. Find a plugin for your job, for example operations or finance.
  4. Install one plugin.
  5. After one week, remove it if you do not use it.

CAUTION: Install plugins only from sources you trust. Some plugins run code on your computer with your permissions.

Plugins work in Chat, Cowork and Code.

Step 10: Keep each piece of work in a Project (5 minutes)

  1. Create a Project for one piece of work, for example your year-end review.
  2. Attach your About Me and Voice profiles.
  3. Add instructions that say what the Project is for.
  4. Start each task for that work inside the Project.

Result: each task starts with the context of that work.

Optional: give Cowork a workspace folder (20 minutes)

Do this if you want Cowork to work on files on your computer.

  1. Make one folder, for example "Claude Workspace".
  2. In it, make four folders: About me, Projects, Templates and OUTPUTS.
  3. Put about_me.md, my_voice.md and my_rules.md in About me.
  4. Put one folder for each live project in Projects.
  5. Put reusable structures in Templates, for example a report outline.
  6. Leave OUTPUTS empty. Claude puts new work there.
  7. In Cowork, select the workspace folder.
  8. Add these rules to your instructions:
## BEFORE EVERY TASK
1. Read About me/. No task starts without reading it.
2. If the task relates to a project, read everything in the matching Projects/ subfolder before proceeding.
3. If the task involves a content type with a matching pattern in Templates/, study that template's structure first. Use the structure. Don't copy the content.

## FOLDER PROTOCOL
Read-only, never create, edit, or delete anything in these:
- About me/ → my identity and writing rules.
- Templates/ → proven structures to reuse as patterns.
- Projects/ → my briefs, references, and finished work, organised by project.

Write folder, the only place you deliver work:
- OUTPUTS/ → everything you create goes here, one subfolder per project.

## NAMING CONVENTION
All files you create follow this format: project_content-type_v1.ext
Increment the version number if a file with the same name already exists.

## OPERATING RULES
- If the brief is unclear or incomplete, ask me before proceeding. Don't fill gaps with generic filler.
- Show me a plan before executing anything that touches more than one file.
- Never delete files anywhere.
- Never overwrite a file without asking, even in OUTPUTS.

CAUTION: Keep the last two rules. With these rules, Claude does not delete or overwrite your files.
